Course Description

This course emphasizes essential skills required for the business office. Topics include office protocol, time management, telecommunications and telephone techniques, office equipment, workplace mail, records management, travel and meeting arrangements, electronic mail, and workplace documents.

Office Protocol

  • Use appropriate procedures for receiving callers and making introductions.
  • Identify desirable personal skills and qualities required in an office.

Time Management

  • Define time management.
  • Recognize time wasters in the office.
  • List ways to eliminate time wasters.
  • Identify good work organization habits.
  • Determine priorities and schedule deadlines based on priorities.
  • Organize and maintain a workstation for maximum productivity.

Telecommunications and Telephone Techniques

  • Use various types of telecommunications equipment.
  • Identify basic and special services provided by telecommunications companies.

Office Equipment

  • Discuss the basic features of fax machines.
  • Discuss the basic features of copiers.

Workplace Mail

  • Implement procedures for processing incoming and outgoing mail.
  • Identify classes of mail and special mail services.
  • Discuss the use of (or use) a postage meter.
  • Define and use e-mail.

Records and Management

  • Describe various types of filing systems used in an office; filing supplies and equipment; and common filing problems and ways to avoid them.
  • Demonstrate the use of filing equipment and supplies to file business correspondence according to basic filing rules.

Travel and Meeting Arrangements

  • Identify types of services available for making travel arrangements.
  • Prepare documentation for travel and meeting arrangements to include transportation and accommodation reservations, travel expense reports, agendas, meeting materials, and minutes.
  • Plan a business meeting using the appropriate documentation and follow-up activities.
  • Describe alternatives to holding meetings (i.e., conference calls, teleconferencing).
